Norden Farm Centre for the Arts (NFCA) is a Charity based in Maidenhead. We are seeking a Minutes Secretary for the Board of Trustees, which is a voluntary role. There are currently nine Trustees who are joined by two or three senior Staff at Board Meetings. In general Board Meetings are held at the Farm at 7pm on the fourth Thursday of each month, excepting for August. An Annual General Meeting (AGM) is held in October.
The Minutes Secretary is responsible for drafting an Agenda for each meeting, in consultation with the Chair of the Trustees. The Agenda is circulated in draft by email to the expected attendees accompanied by reports from the Chief Executive/ Artistic Director and the Finance Committee, and the Minutes of the previous meeting.
The Agenda has a basic format which covers Apologies for Absence, Approval of previous Minutes and Matters arising. Discussions follow on current issues, and the meeting concludes with Standing items. The finalised Agenda is lodged in a Dropbox online filing system.
The Minutes Secretary then prepares a draft set of minutes, and agrees the content and layout with the Chair of the Board, before finally lodging all the finalised key documents in the Dropbox files. The complete set of four documents is then sent to the Royal Borough of Windsor and Maidenhead. Ideally applicants should be experienced in making a comprehensive record of the Board Meeting, from which a relevant set of Minutes can be created. The post holder for this role must be experienced with Microsoft Word, and preferably have basic skills for Microsoft Excel.
